Team & Permissions Overview
Who can book, who can approve, who can administer — and where to set it in Venuo.
Every person in your account holds exactly one role. The role decides what they see and what they can do. Groups are separate: they decide which spaces a person can book.
You set both on the People page. It is in the main navigation, and it is visible to Owners and Admins.
The permission tree
Two capabilities sit underneath everything. One covers configuring the venue, the other covers running the day. Roles differ in which of the two they hold.
Roles at a glance
| Role | Who it’s for | What they get |
|---|---|---|
| Owner | Account creator, billing contact | Venue configuration, operations and billing |
| Admin | Office managers, co-administrators | Venue configuration and operations. No billing |
| Staff | Front desk, reception | Bookings, approvals, visitors and check-in †. No settings, no people management, no billing |
| Member | The people who book spaces | Books the spaces their group gives them access to |
| Guest | Visitors and external people | Books through a public link or QR code — no account needed |
† Visitor management is coming in October 2026.
Staff is the same role whatever kind of venue you run. An office receptionist and the person behind the desk at a sports club get the same permissions; only the words on screen change with your venue category.
The two segments on the People page
The People page splits your account with a filter above the list:
- All — everyone.
- Team — Owners, Admins and Staff. The people who run the venue.
- Members — the people who book spaces.
The split is by role, not by a separate setting. Change someone’s role and they move between segments.
Inviting someone
- Go to People and click Invite User.
- Enter their email address.
- Choose a role. Owners can assign Owner, Admin, Staff or Member. Admins can assign Admin, Staff or Member — an Admin cannot create an Owner or change one.
- Optionally assign a group straight away.
- Send the invitation. They receive an email with an accept link.
Changing someone’s role later
Open the person on the People page and change the Role field. The change takes effect the next time their session refreshes.
Two limits apply, and they are enforced by the database rather than by hiding buttons:
- Nobody can promote themselves.
- An Admin cannot deactivate, remove or re-role an Owner.
